What Is PSIRA Company Registration?

PSIRA company registration means registering your business with the Private Security Industry Regulatory Authority so you can legally operate as a security company in South Africa. If you want to provide guarding services, install CCTV, run a response unit, or sell any private security service, you must be registered with PSIRA. Operating without it is a criminal offence.

The process has two parts. First, every director, member, or owner of the security business must register as an individual with PSIRA and get a security officer grade. Second, the company itself must register as a security service provider. You cannot skip the individual registration step. PSIRA will reject your company application if the people behind the business are not individually registered.

Step 1: Register Your Company with CIPC

Before PSIRA will look at your application, you need a registered legal entity. Most security businesses register as a private company, also called a Pty Ltd. This is done through the Companies and Intellectual Property Commission, or CIPC.

You will need:

1. A company name reservation or a name that is available on the CIPC database.
2. The Memorandum of Incorporation, which is the founding document of the company.
3. Director details, including ID numbers and addresses.
4. A registered office address in South Africa.

Once CIPC issues your registration certificate, you have a legal company. But you are not yet allowed to trade as a security business. That comes next.

Step 2: Register Each Director Individually with PSIRA

This is the step many people miss, and it causes delays. Every person who owns or directs the security company must first register as an individual security service provider with PSIRA. This means getting graded.

The grades start at Grade E, which is the entry level, and go up to Grade A. For company directors, PSIRA typically requires at least a Grade B. The grade you need depends on the type of security work you will supervise.

To register as an individual, you need:

1. A completed PSIRA individual registration form.
2. A certified copy of your South African ID or passport.
3. A SAPS clearance certificate showing you have no criminal record.
4. Proof of training from a PSIRA-accredited training provider.
5. The individual registration fee, which you pay directly to PSIRA.

The training is mandatory. You cannot just pay and get registered. You must complete the required training at a PSIRA-accredited training centre before you submit your individual application.

Step 3: Register the Company with PSIRA

Once your directors are individually registered and graded, you can apply for company registration with PSIRA. This is the main application that allows your business to operate as a security service provider.

You will need the following documents:

1. Your CIPC company registration certificate.
2. Your Memorandum of Incorporation.
3. Certified ID copies of all directors or members.
4. PSIRA individual registration numbers for each director.
5. A SARS tax clearance certificate for the company.
6. A B-BBEE certificate or affidavit, depending on your ownership structure.
7. Proof of business premises, such as a lease agreement or title deed.
8. A compliance certificate from the Department of Labour if you have employees.
9. The company registration fee, paid to PSIRA.

PSIRA will review your application and may conduct a site visit to verify your business premises. This is normal. They want to confirm you have a real operating address and not just a postal address.

Step 4: Get Your PSIRA Company Certificate

If your application is complete and PSIRA is satisfied, they will issue your PSIRA company registration certificate. This certificate is your licence to operate as a security business in South Africa. You must renew it annually and keep it current.

If PSIRA finds problems with your application, they will ask you to fix them. Common problems include missing individual registrations, expired tax clearance certificates, and incomplete training records. Fix the issues and resubmit.

How Long Does PSIRA Registration Take?

There is no fixed timeline that applies to every application. PSIRA processing times depend on how complete your application is, how busy the regulator is, and whether they need to do a site visit. Some applications are processed in a few weeks. Others take longer because of missing documents or training that is not yet complete.

The best way to avoid delays is to make sure every document is correct before you submit. Do not submit a partial application hoping to send the rest later. PSIRA does not work that way.

What Does It Cost?

PSIRA charges fees for both individual registration and company registration. These fees are set by PSIRA and can change, so check the current fee schedule on the PSIRA website before you budget. You will also pay for training at an accredited provider, and that cost varies by provider and by grade.

On top of the PSIRA fees, you have the cost of registering your company with CIPC, getting a tax clearance, and obtaining a B-BBEE certificate or affidavit. These are standard business setup costs in South Africa.

Do You Need a Business Plan for PSIRA?

PSIRA does not strictly require a business plan as part of your application. However, if you are applying for funding to start your security company, banks and funding institutions will ask for one. A business plan shows you understand the security industry, your market, your costs, and your revenue projections.

Common Mistakes to Avoid

Many security entrepreneurs get rejected by PSIRA because of avoidable errors. Here are the most common ones:

1. Trying to register the company before the directors are individually registered. PSIRA will not process it.
2. Using a training provider that is not PSIRA-accredited. Your training certificate will be invalid.
3. Submitting uncertified ID copies. PSIRA requires certified copies.
4. Not having a proper business premises. A residential address may work in some cases, but you must prove it is a genuine operating base.
5. Letting your tax clearance certificate expire while your PSIRA application is still being reviewed.

What Happens After You Are Registered?

Once your PSIRA company certificate is issued, you can start trading legally. You must display your PSIRA registration number on your marketing materials, vehicles, and documentation. You must also ensure every security officer you employ is individually registered with PSIRA and holds the correct grade for the work they do.

If you employ unregistered security officers, you risk fines and the suspension of your company registration. PSIRA does inspections, so do not cut corners.

You will also need to keep your company registration renewed. PSIRA sends out renewal notices, but the responsibility to renew on time is yours. If your registration lapses, you cannot legally operate until it is reinstated.
