What Is a COIDA Certificate of Good Standing?

A COIDA Certificate of Good Standing is a document from the Compensation Fund that proves your company is registered with them, has submitted its Return of Earnings (ROE), and has paid what it owes. It is issued under the Compensation for Occupational Injuries and Diseases Act. Many tenders, contracts, and compliance processes require it before they will even look at your bid or paperwork.

If you are applying for work on the Central Supplier Database (CSD), bidding for a government tender, or signing a contract with a large client, expect to be asked for this certificate. Without it, you will be seen as non-compliant.

Who Issues the Certificate?

The Compensation Fund, which falls under the Department of Employment and Labour, issues the COIDA Certificate of Good Standing. It is not issued by CIPC, SARS, or your municipality. It is specifically tied to your COIDA registration number and your compliance history with the Fund.

What You Need Before You Apply

You cannot get a Certificate of Good Standing if your COIDA affairs are not in order. Before you apply, make sure you have done the following:

  1. Registered your company with CIPC.
  2. Registered your company with the Compensation Fund under COIDA. You do this by submitting a W.As.2 form.
  3. Received your COIDA registration number, also called your MP number.
  4. Submitted your Return of Earnings (ROE), which is the W.As.8 form, for the relevant assessment year.
  5. Paid any amount the Compensation Fund says you owe based on that return.

If you have not submitted your ROE, or if you owe money, your application for a Certificate of Good Standing will be rejected. The Fund will not issue the certificate until those issues are sorted out.

How to Apply for the Certificate

The Compensation Fund has moved much of its process online. You can apply for your Certificate of Good Standing through the Compensation Fund online portal. Here is the general process:

  1. Go to the Compensation Fund online system and log in using your registered details.
  2. Make sure your ROE has been submitted and assessed.
  3. Check that any amount due has been paid and reflects on the system.
  4. Navigate to the Certificate of Good Standing section.
  5. Generate or request the certificate.
  6. Download or print the certificate once it is issued.

If the system shows that you are not compliant, you will need to fix the underlying issue first. This usually means submitting an outstanding ROE or paying an outstanding amount.

How Long Does It Take?

There is no fixed, guaranteed turnaround time. If your ROE is submitted, your payments are up to date, and the system reflects everything correctly, the certificate can sometimes be generated quickly through the online portal. However, if there are disputes, outstanding returns, or payment delays, it can take much longer. Plan ahead and do not leave this to the last minute before a tender deadline.

Why Tenders Ask for It

Tender committees and large clients want proof that you are a compliant employer. If you are not registered with COIDA and do not have a Certificate of Good Standing, it signals that you may not be following labour laws. This puts you at risk of being disqualified from a tender or losing a contract.

The CSD also links to Compensation Fund records. If your COIDA status is not good, it can affect your CSD registration status and your ability to do business with government.

Common Reasons Your Application Fails

Here are the most common reasons entrepreneurs struggle to get their Certificate of Good Standing:

  • You never registered with the Compensation Fund in the first place. CIPC registration alone is not enough.
  • You registered but never submitted your Return of Earnings.
  • You submitted your ROE but have not paid the assessed amount.
  • You paid but the payment has not yet reflected on the Compensation Fund system.
  • Your company details on the Compensation Fund system do not match your CIPC details.

Fix these issues one by one, and then apply again.

COIDA and Letter of Good Standing: What Is the Difference?

People often use the terms interchangeably, but they refer to the same thing. A COIDA Letter of Good Standing and a COIDA Certificate of Good Standing are the same document from the Compensation Fund. The official term is Certificate of Good Standing, but some tender documents may call it a Letter of Good Standing. Do not be confused by the wording. It is the same compliance proof.

Final Checklist Before You Apply

Use this checklist to make sure you are ready:

  1. Your company is registered with CIPC.
  2. You have a COIDA registration number from the Compensation Fund.
  3. You have submitted your latest Return of Earnings.
  4. You have paid any assessed amount owed.
  5. Your company details match across CIPC, SARS, and the Compensation Fund.
  6. You can log in to the Compensation Fund online portal.

If all of these are in place, you are in a strong position to generate your Certificate of Good Standing and move forward with your tender or contract application.

Questions people also ask

Does the COIDA Certificate of Good Standing expire?

The certificate is usually valid for a limited period, and tender committees often want one that is recent. It is best to check with the specific tender or client what timeframe they accept. If your compliance status changes, for example if you fall behind on ROE submissions, the certificate can become invalid.
